So, someone’s leaving your team and it’s time to offboard them. No stress! We’ve put together a clear, step-by-step guide to help you wrap things up smoothly, protect your data, and keep everything tidy. When someone moves on, here’s how to keep things clean and secure:
Types of Offboarding
Offboarding isn’t one-size-fits-all. Here are the two main ways you can handle it, depending on your situation:
Important distinctions to note before suspending or deleting a user:
- Suspending and/or deleting a user is not possible until all messaging channels are disconnected!
- If you delete a user, you can reuse their email address to create a new account. If the user is suspended, you won’t be able to create another account using that same email until the original user is deleted.
Suspending a User
- Suspending a user prevents the user from being able to log in to the system, but keeps the user’s data in SnippetSentry.
Deleting a User
If they’re gone for good and you don’t need their data anymore, deletion is the way to go.
- Deleting a user totally removes their access to and account information from SnippetSentry only–any messages to or from the user sent before channel disconnection will remain in your archive
- Deleting a user frees up a license for someone else
- Note: Deleting a user is not possible until all messaging channels are disconnected!
How to Offboard a User (Step-by-Step)
Here’s your go-to checklist for offboarding a user:
- Log in to your Admin Dashboard at app.snippetsentry.com
- Navigate to the “Manage Users” tab
- Click on the name of the user to bring up the “Modify User” tab
- Scroll all the way to the bottom and ensure the user is disconnected from all messaging channels (iMessage, WhatsApp, and/or Android)
- Above the Channel Status Table, there are 3 button options: Reset Password, Suspend, and Delete.
- Select “Suspend” to suspend the user from your account (login will not be possible for the user).
- Select “Delete” to delete the user from your account. Login will not be possible for the user, and all data pertaining to the user will be deleted from SnippetSentry.
Note: Deleting a user is not possible until all messaging channels are disconnected!
